Effective 15 July 2026. This Privacy Policy explains what information Black Fish Networks, LLC d/b/a Deeztek (“Deeztek,” “We,” “Us,” or “Our”) collects, why We collect it, and what We do with it. It applies to www.hermesseg.io and to the hosting, email, file-sync, and related services We provide (the “Services”). By ordering, accessing, or using the Services, you acknowledge the practices described here. This Policy supplements Our Terms of Service and Acceptable Use Policy.
1. WHO WE ARE
Deeztek is a managed hosting provider operated by Black Fish Networks, LLC, 5900 Balcones Drive STE 100, Austin, TX 78731, United States. Questions about this Policy or your data: support@deeztek.com.
2. INFORMATION WE COLLECT
2.1 Account and Billing Information
When you create an account or order a Service, We collect the information you provide: name, company name, email address, billing address, phone number, and the domain names associated with your Services. We also keep your order history, subscription records, and invoices.
2.2 Payment Information
Payments are processed by Stripe. We do not receive or store your full card number, expiry, or security code. Stripe returns to Us only a customer reference and a payment-method reference (tokens) that let Us bill your subscription, plus limited metadata such as card brand, last four digits, and expiry. Stripe’s handling of your payment data is governed by Stripe’s own privacy policy.
Historical records migrated from Our previous store may include the payment method and transaction reference of past purchases.
2.3 Customer Documents
Where you or We upload documents relating to your account — such as signed HIPAA Business Associate Agreements, W-9 forms, or service agreements — We store them so they are available to you in your account. These documents are access-controlled: only the account owner and Deeztek administrators can retrieve them, and every access is logged.
2.4 Customer Content
Our Services store and transmit content you provide or generate — for example email messages and attachments, files synchronized to Nextcloud, website files and databases, and backups (collectively, “Customer Content”). Customer Content belongs to you. We do not access it except as reasonably necessary to operate, maintain, support, or secure the Services, to address a suspected violation of Our Acceptable Use Policy, or where required by law.
Customer Content may include personal information about your own customers, patients, employees, or contacts. You are the controller of that information; We process it on your behalf.
2.5 Protected Health Information (PHI)
Some customers are HIPAA covered entities or their business associates. Where We have executed a Business Associate Agreement (BAA) with you, We may create, receive, maintain, or transmit Protected Health Information (PHI) on your behalf, and We handle that PHI in accordance with the BAA and applicable HIPAA requirements. The BAA controls with respect to PHI; where this Policy conflicts with an executed BAA, the BAA governs.
2.6 Technical and Log Information
When you use the Services We automatically collect: IP address, browser type and user agent, dates and times of access, pages requested and referring URLs, and authentication events (including failed login attempts). Our mail, hosting, and file services generate operational logs. We use this information to run and secure the Services, diagnose faults, and investigate abuse.
2.7 Support Communications
If you contact Us for support, We keep the correspondence and any information you include in it, so We can help you and maintain a service history.
2.8 Service and Marketing Communications
We send transactional messages you cannot opt out of while you hold an active Service — for example order confirmations, invoices, renewal notices, password resets, and security or maintenance notices. We may also send occasional service announcements; those include an unsubscribe link and you can opt out at any time without affecting your Services.
3. HOW WE USE INFORMATION
We use the information described above to:
- provide, provision, maintain, and support the Services;
- bill you, process renewals, and keep tax and accounting records;
- authenticate you and protect your account;
- detect, investigate, and prevent abuse, fraud, spam, and security incidents;
- communicate with you about your account, orders, and Services;
- comply with law and enforce Our Terms of Service and Acceptable Use Policy.
We do not sell your personal information, and We do not share it for advertising or behavioral profiling.
4. SERVICE PROVIDERS AND SUB-PROCESSORS
We use a small number of third parties to deliver the Services. They receive only what they need to perform their function:
- Stripe — payment processing and subscription billing.
- OVHcloud — the underlying hosting infrastructure on which the Services run.
- hCaptcha (Intuition Machines) — bot and abuse protection on login, registration, and password-reset forms.
- Cisco Duo — multi-factor authentication for Deeztek administrator access.
Our email platform, file-sync platform, helpdesk, and mailing system are software We run ourselves on OVHcloud infrastructure We control — they are not third-party SaaS services. Your support correspondence, your mailbox contents, your files, and your contact details are therefore not disclosed to any vendor beyond those listed above.
We may also disclose information where required by law, subpoena, or other legal process, or where necessary to protect the rights, property, or safety of Deeztek, Our customers, or the public.
5. WHERE YOUR DATA IS PROCESSED
The Services run on infrastructure operated by OVHcloud. Deeztek is a United States company and administers the Services from the United States. If you require specific commitments about the geographic location where your data or PHI is stored or processed, contact Us at support@deeztek.com before ordering, and We will confirm in writing.
6. COOKIES
We use cookies that are necessary for the site to function: session and authentication cookies that keep you logged in, and shopping-cart cookies that remember what you are ordering. Our bot-protection provider may also set a cookie. We do not use advertising, retargeting, or cross-site tracking cookies.
7. DATA RETENTION
We keep account, order, invoice, and tax records for as long as you hold a Service with Us and afterward for as long as required for legal, tax, and accounting purposes. Customer Content is retained for the life of the Service and any applicable backup-retention window described in your plan or Our Terms of Service; after termination, Customer Content and backups may be permanently deleted. Operational and security logs are retained for a limited period appropriate to their purpose. PHI is retained and returned or destroyed in accordance with the applicable BAA.
8. SECURITY
We protect information using encryption in transit (TLS), access controls and least-privilege administration, multi-factor authentication for administrator access, access-controlled and audit-logged document storage, and regular backups. No method of transmission or storage is completely secure, and We cannot guarantee absolute security. You are responsible for safeguarding your account credentials and for the security of the content you place on the Services, as described in Our Terms of Service.
9. YOUR RIGHTS AND CHOICES
You may review and update most account information from your account at www.hermesseg.io. You may request access to, correction of, or deletion of the personal information We hold about you by emailing support@deeztek.com. We may need to verify your identity before acting, and We may retain information where We are legally required to do so or where it is necessary to resolve disputes or enforce Our agreements.
Where your request concerns information contained in Customer Content that We process on behalf of a customer, We will refer the request to that customer, who is the controller of that information.
You can unsubscribe from non-essential announcements at any time using the link in those messages.
10. CHILDREN’S PRIVACY
The Services are intended for businesses and are not directed to children under 13, and We do not knowingly collect personal information from children.
11. CHANGES TO THIS POLICY
We may update this Policy from time to time. We will revise the effective date above and, where changes are material, notify you by email or through the Services. Your continued use of the Services after an update constitutes acceptance of the updated Policy.
